What is Erasmus+ Student Mobility for Studies?
Erasmus+ Student Mobility for Studies is an exchange activity that allows students to complete part of their studies at a partner higher education institution abroad within the scope of the Erasmus+ Programme.
Who can apply?
Associate, undergraduate, master’s, and doctoral students enrolled at our University can apply for Erasmus+ Student Mobility for Studies. Applicants must have active student status at the time of application.
What is the minimum GPA requirement for application?
Associate and undergraduate students must have a minimum cumulative GPA of 2.20/4.00, while master’s and doctoral students must have a minimum cumulative GPA of 2.50/4.00.
How long does the mobility period last?
Student Mobility for Studies can generally be carried out for one semester or one academic year. The duration may vary depending on the academic calendar of the host institution and the rules of the relevant Erasmus+ project.
Can every selected student receive an Erasmus+ grant?
No. The number of students who can receive a grant depends on the available project budget. Successful applicants may participate in the mobility either as granted or zero-grant Erasmus+ students according to their ranking scores.
Can I participate in Erasmus+ mobility without receiving a grant?
Yes. Students who successfully complete the selection process may participate in Erasmus+ mobility with zero grant while maintaining Erasmus+ student status.
How are applications evaluated?
Applications are evaluated based on the student’s cumulative GPA, foreign language exam score, and additional points/deductions specified in the Erasmus+ Programme Guide.
Is it mandatory to take the foreign language exam?
Yes. Students must either take the Erasmus+ Foreign Language Exam organized by our University or submit a valid foreign language certificate accepted in the relevant application announcement.
Which universities can I choose for my mobility?
Students can apply to partner higher education institutions that have an Erasmus+ agreement with their department/programme.
Can I choose the university where I will study?
Yes. Students can make their preferences among the available partner institutions announced during the application period. Placements are made according to students’ Erasmus+ scores, preference rankings, and available quotas.
How are the courses I will take at the host institution determined?
The courses to be taken at the host institution are determined together with the departmental Erasmus coordinator and included in the Learning Agreement. The selected courses are expected to be compatible with the student’s academic programme.
Will the courses I take during Erasmus+ be recognized by my University?
Yes. Courses successfully completed during the mobility are recognized in accordance with the approved Learning Agreement and academic recognition documents prepared before the mobility.
Do I need to have a passport when applying?
A passport may not be required during the application stage; however, selected students must obtain a valid passport for visa and travel procedures.
Who is responsible for visa procedures?
Visa procedures are the responsibility of the student. Our University provides the necessary Erasmus+ documents; however, the final decision regarding visa applications belongs to the relevant consulate/visa authority.
Do I have to pay tuition fees to the host university?
No. Erasmus+ students do not pay tuition fees to the host institution. However, travel, accommodation, insurance, visa, and personal expenses are the responsibility of the student.
Can I withdraw from Erasmus+ mobility?
Yes. Students who wish to withdraw must notify the International Relations and Exchange Programmes Coordination Office in writing within the announced period. Late withdrawals may result in point deductions in future Erasmus+ applications.
Can I apply again if I have participated in Erasmus+ before?
Yes. Students who have previously benefited from Erasmus+ mobility may apply again. However, point deductions are applied according to Erasmus+ rules for students applying within the same study cycle.
Will Erasmus+ mobility delay my graduation?
With proper course selection and academic recognition procedures, Erasmus+ mobility is aimed not to extend students’ study periods. Therefore, students should carefully complete course matching procedures together with their departmental Erasmus coordinators.
I have been selected for Erasmus+ Student Mobility for Studies. What should I do now?
Students selected for Erasmus+ Student Mobility for Studies are officially nominated to their host institutions by our Coordination Office. Following the nomination process, the host institution informs students about the application procedure, required documents, course selection process, and application deadlines.
Students are responsible for carefully checking the information provided by the host institution, preparing the required documents, and completing their applications within the specified deadlines.
Which documents and procedures should I complete before my mobility?
Students who receive acceptance from their host institutions must complete the following procedures before the start of their mobility:
Online Learning Agreement (OLA)
Students must prepare their Online Learning Agreement (OLA) by selecting the courses they will take at the host institution together with their departmental Erasmus coordinators. The document must be approved online by the student, the sending institution, and the host institution.
The required course workload for one semester is 30 ECTS credits.
Letter of Acceptance
After completing the application process at the host institution, students receive their Letter of Acceptance from the host institution.
The Letter of Acceptance is used for confirming mobility dates, visa procedures, and grant calculations.
Visa/Grant Confirmation Letter
For students who receive their Letter of Acceptance, our Coordination Office prepares a visa/grant confirmation letter indicating their Erasmus+ student status and grant information, if applicable.
Academic Approval Form
The Academic Approval Form must be prepared in order to approve the suitability of the courses to be taken at the host institution and their equivalents at our University.
After completing the required signature process, the Academic Approval Form must be submitted by the student to the relevant Faculty/Graduate School Secretariat together with its attachments.
This process is a mandatory step before mobility to ensure the academic recognition of successfully completed courses after the Erasmus+ period.
Visa Application Process
The visa application process is the responsibility of the student. Students must follow the current visa procedures of the destination country, prepare the necessary documents, and complete their applications on time.
Opening a Bank Account
Students who are entitled to receive an Erasmus+ grant must open a current Euro account at the bank and branch specified by our Coordination Office.
Grant Agreement
A Grant Agreement is signed between the student and our Coordination Office after the student completes all required documents and visa procedures.
Grant payments are transferred to the student’s bank account after the completion of the agreement process in accordance with Erasmus+ rules.
What should I do when I arrive at the host institution?
After arriving at the host institution, students should first contact the Erasmus/International Relations Office of the host institution to receive information about registration and arrival procedures.
Students are encouraged to participate in the orientation programme if organized by the host institution.
At the beginning of the mobility:
- The Arrival section of the Arrival/Departure Form must be completed and signed by the host institution and sent to our Coordination Office via e-mail.
- If course changes are required, they are generally completed within the first weeks of the academic semester.
- In case of course changes, the During Mobility (Changes to Learning Agreement) section of the Learning Agreement must be updated, and the necessary approval process must be completed by the student, sending institution, and host institution.
Which documents should I submit after completing my mobility?
Students who complete Erasmus+ Student Mobility for Studies must submit the following documents to our Coordination Office:
Arrival/Departure Form
This document confirms the official start and end dates of the mobility period. Both sections of the document must be completed and signed with wet signatures.
Certificate of Attendance
An official document confirming that the student has completed the Erasmus+ mobility period and indicating the exact mobility dates. The document must include a wet signature.
Transcript of Records
The document showing the courses taken at the host institution, grades obtained, and credits earned. It can be accepted as a wet-signed document or a verifiable electronic document.
EU Survey (Participant Report)
After completing the Erasmus+ mobility period, students receive the EU Survey (Participant Report) through the system.
Students must complete the survey within the specified period by providing feedback regarding their Erasmus+ experience.
Completing the EU Survey is one of the required steps for finalizing post-mobility procedures and processing the remaining grant payment, if applicable.
E-Government Entry/Exit Document
Students must submit the entry-exit record obtained via e-Government in order to verify their mobility period.
Students who are not citizens of the Republic of Türkiye must submit copies of the passport pages showing their entry and exit dates.
Academic Recognition Procedures
Academic recognition procedures are initiated to recognize the courses completed at the host institution.
Students must contact their departmental Erasmus coordinators and prepare the Academic Recognition Form according to their Transcript of Records received from the host institution.
After completing the required signatures, the Academic Recognition Form must be submitted by the student to the relevant Faculty/Graduate School Secretariat together with its attachments.
When and at what rate are Erasmus+ grant payments made?
Grant payments for students who are entitled to receive an Erasmus+ grant are made after all required pre-mobility documents are completed and the Grant Agreement is signed.
80% of the total calculated grant amount is transferred to the student’s designated bank account before the start of the mobility period. The remaining 20% is paid after the completion of the mobility, submission of all required post-mobility documents, and completion of the necessary checks.
The final grant amount is recalculated according to the actual mobility dates, submitted documents, and Erasmus+ rules.
What happens if I fail the courses I take during my mobility?
Within the scope of Erasmus+ Student Mobility for Studies, students are expected to regularly attend the courses they take at the host institution and fulfil their academic responsibilities.
At the end of the mobility period, the student’s academic performance is evaluated based on the Transcript of Records issued by the host institution.
If a student fails courses or does not fulfil their academic responsibilities, grant deductions may be applied in accordance with Erasmus+ rules and the decisions of our University’s Erasmus+ Commission.
Can I extend my mobility period?
Yes. The duration of Erasmus+ Student Mobility for Studies may be extended depending on the relevant Erasmus+ project rules, academic calendar, grant availability, and the approval of both the sending and host institutions.
Students who would like to extend their mobility period must follow the extension application announcements published by our Coordination Office and complete the necessary approval procedures before the end of their current mobility period.
Extension requests are evaluated considering the approval of the host institution, academic suitability of the department, and current project conditions. Approval of a mobility extension does not guarantee additional grant support.
